If the Passport is Lost

A foreigner’s passport is not restored by a Russian clinic, bank, or employer, but by the competent authorities of the country of citizenship. In Russia, it is usually necessary to document the loss, contact the police for confirmation of the application, and contact the consulate of your country.

While you don’t have the passport yet, keep copies, the notification receipt or certificate, correspondence with the consulate, and appointment documents. Clarify with the consulate whether a temporary document, a new passport, or a return document will be issued. Do not promise the employer or landlord an exact date if the consulate has not confirmed it.

If a migration card is lost

The migration card is linked to entry and migration registration. Official explanations from consular offices state that if a migration card is lost or damaged, the foreign citizen must report this to the territorial office of the Ministry of Internal Affairs at their location within a short period. It is best to clarify the specific procedure and required documents at the place of application.

Take your passport, copies of the card if available, registration, documents from the host party, and confirmation of the circumstances of the loss. After receiving a duplicate or confirmation, check whether you need to update your migration registration.

If a passport is replaced

A new passport does not automatically update all Russian documents. Check where the old number is indicated: migration registration, work patent, temporary residence permit (RVP), residence permit (VNZh), compulsory medical insurance (OMS), voluntary medical insurance (DMS), bank, employment contract, university, rental agreement, personal accounts.

If there is a problem with the work patent

If there is an RVP or VNZh

With an RVP or VNZh, not only the document itself is important, but also the data on which it is based. First, find the source of the error: passport, translation, migration card, registration, work patent, insurance policy, contract, employer’s database, or clinic’s records. You need to correct the source, not just the last document where the error appeared.

If the error interferes with work, medical care, or banking operations, ask the organization to specify in writing which data do not match. This will help explain the problem to the authority responsible for correcting the document.

If the Employer Requires a Document

The employer is responsible for allowing a foreign national to work, so their interest in documents is understandable. However, it is better to provide copies and confirmations of requests rather than originals unnecessarily. If the right to work is in question, the employer may temporarily suspend access pending verification.

Do not promise “I’ll fix everything tomorrow” if the procedure depends on the MIA or consulate. Provide facts: what was lost, where you applied, what confirmations you have, and when the next appointment is.
